Explanation : The goal of the overall WP10 is to allow research projects to build viable businesses. In order to design the right business models, we have to properly manage the outcome of the research, hence the data management plan, but also the need for supporting further analysis of the results. That's the role of the templates and documentation that will be created as part of the D10.3 work.

Topic 3: progress monitoring and reporting
Participants have agreed on a monthly check-up conference call and a weekly status email. Participants agreed also on using SVN as tool to share and collect documentation. SMILE will create a specific folder structure for the new deliverables.
If there are issues requiring it, ad-hoc conference calls will be organized in order to provide support to those participants who would need it.

I am adding Elena Kaiser who is working with me on the WP10 activities, and the WP10 mailing list for visibility purposes.
Regarding who fills the reports, I’d see this as an internal organisation issue for the WP team. I used the mailing list in order to get some visibility, but it should be coordinated internally. If the WP leader or the Tasks leaders have concerns, they should definitely reach to us (us being WP10 participants and coordinator).
The Data Management Plan is supposed to help you to categorize and assess the data being used and produced throughout the research work. It’s the initial assessment that we have to conduct before the end of June.
The Assessment of Pre-Existing Resources is meant to document which resources are already available and will be used to conduct the research project. They can be of different nature, beyond data. For example, infrastructures or software have to be included in the list. The APER is a very important document as it will be needed in order to assess what is possible to propose as exploitation strategy, given in particular the possible constraints that pre-existing assets may generate in terms of intellectual property.
Both documents should be filled by answering the questions in each section.

As we did not get any answer to any email sent either around the global Sparta Kick-Off, or more recently about the WP10 work itself (message of the 2019-04-23), we assumed there wasn't any resource immediately available for the short term deliverables.
We did prepare a couple of templates, one for the Data Management Plan (DMP), and one for the Assessment of Pre-Existing Resources (APER). They are attached to this message and will be added to the WP10 SVN repository.
We would like to have a Kick-Off call focused on the initial deliverables, D10.1 and D10.2 on the 14th of May (next Tuesday). You can find the conference call details below.
During this call, we would like to achieve the following:
1. agree on the roadmap we envision for 2019
2. agree on the status of the DMP and APER templates
3. agree on the next step for D10.1 and D10.2
Here is the proposed roadmap as it seems the most realistic given the resources and time constraints.

We represent Security Made In LËtzebuerg (SMILE), the coordinator of the Work Package (WP).
The goal of this message is to initiate the collective work on the WP10 deliverables. We'll start by putting together a set of organizational principles and propose the first actions to be done.
We want to answer to the following questions:
1. What are the objectives?
2. What is the timeline?
3. What are the roles and responsibilities?
4. What is our operational ruleset?
1. Objectives
The ultimate objective of the WP is to build a legal and business framework allowing to exploit in a sustainable manner the results of the four research projects.
The 6 deliverables described in page 52 of the proposal will allow to reach this target:
Deliverable 10.1 : Pre-existing components identification documentation
Deliverable 10.2 : Data Management Plan
Deliverable 10.3 : Project results description documentation
Deliverable 10.4 : Sustainability and exploitation plan
Deliverable 10.5 : Sustainable exploitation documents
Deliverable 10.6 : Commercial deployment Plan
2. Timeline
All the deliverables are reports. They have a specific completion date. There are constraints such as review and quality control that will impose milestones to the delivery process.
Our present understanding is that the final draft should be ready at least 1.5 month prior to the official deadline in order to allow these validations to take place.
To ensure a smooth progress, we suggest a weekly status check. For those being on schedule, there is no need for a call. A written summary should be enough. For those encountering issues, a call with the WP coordinator (SMILE) should take place.

3. Roles and responsibilities
- SMILE is the WP coordinator.
- LEO and SMILE are in charge of the deliverables and will coordinate the participants for each of them.
- As these deliverables are going to be specific to each research project (WP4, WP5, WP6, WP7) we'll need to have one participant taking care of the communication with each of these WPs.
4. Operational ruleset
- A folder structure has been defined in SVN in order to get a consistent outcome for each research project. It should be systematically used for working on Sparta.
- It will contain a guide called "WP10_Operational_Guidelines" describing the principles we should follow while performing the required work, still for consistency sake.
- We would like to keep the administrative overhead as low as possible, and will focus on having a bi-weekly conference call for coordination purposes. Contact details will be in the guidelines document.
5. Next actions
5.1 - Please inform the WP coordinator of the name of a person of contact in your company for this specific Work Package. We would like to have these names by end of next week (Friday May 3rd)
5.2 - We have to define which entity is handling the communications with each of the research WPs (WP4, WP5, WP6, WP7).
=> Those who would like to volunteer should do so before Monday May 6th. In case there is no answer, this assignment will be defined by the WP Coordinator.
5.3 - In the coming days, we will circulate templates for the Deliverables D10.1 and D10.2. Please let us know if you have existing references for each of these types of reports, so that we can include the relevant parts in the initial draft.

Dear participants in the WP10 of SPARTA,
As you are all aware of, next week is the SPARTA kick-off. SMILE will be represented by Bertrand Lathoud, our SPARTA project coordinator, and François Thill, chairman of SMILE.
To launch our collaboration on the work programme and espcially the “early” deliverables, Bertrand proposes to meet during the lunch break on Monday or Tuesday, at your convenience, this in order to get to know each other face-to-face, discuss and coordinate the WP10 tasks and identify first items to work on.
As, I cannot make it unfortunately, I’ll let Bertrand take the lead on this and find an exact time and place for the WP10 meet-up.
