As ELSA auditor for the SPARTA Project, Im glad to announce the time plan regarding the First Internal ELSA Audit engagements. At this stage, you are simply required to setup a telco for a 60-min audit session, according to the proposed time plan and further instructions below. In the SPARTA Project, the ELSA acronym stands for Ethical, Legal, and Societal Aspects, in the context of WP2 - Responsible innovation: ethical, legal and societal aspects. According to the description of work: Cybersecurity research and innovations will have sustainable success only if ethical and societal impacts both short-term and long-term opportunities, constrains, and threats are assessed and prioritized alongside technical and commercial impacts. Compatibility of innovations with the legal framework is obviously of fundamental importance. This audit initiative is the first engagement of a set of three yearly engagements, to be reported in M12, M24, and M36. Along the way, we aim to build our ELSA awareness and capabilities, as well as ensure high ELSA standards, as a continual improvement process. The Ethics Committee and myself have worked to ensure a lightweight and constructive audit engagement. Your feedback will be much appreciated, namely to improve future (i.e. M24, M36) audit engagements. TIMEPLAN The time plan for the First Internal ELSA Audit is the following: * 9th December: first day of 60-min audit engagements; * 13th December: second day of 60-min audit engagements. * Last call: if required, well setup an additional date after December 13th . Also, more information regarding the audit methodology will be provided on 6th December. INSTRUCTIONS FOR BOOKING AND CONDUCTING YOUR AUDIT SESSION (TELCO) 1. BOOKING: Please send me a calendar invitation (To: goncalo.cadete(a)inov.pt <mailto:goncalo.cadete@inov.pt> ) to book our calendars: a. For a 60-min telco session b. between 9:00 and 19:00 CET (UTC +1hour) c. either on 9th December or 13th December d. please indicate your Skype ID, or alternative telco setup details e. well book on a first-come first-served basis; therefore, please book your timeslot ASAP, according to your preferences. 2. Dear Ethics Committee Members, Good afternoon. (Cc: Executive Board Members) Glad to announce that the Second ELSA Audit is ready to kick-off next Monday. For the Second ELSA Audit we will introduce the following improvements: * Participants: * Engage additional participants, to ensure at least 1 participant per Beneficiary organization. * This criteria leads to total count of 46 participants (14 WP Leaders + 32 non- WP Leaders) * The list of participants is in the attached Excel file ELSA-Audit-2020-ELSA-Champions.xlsx. Participation may be delegated, as permitted during last years audit. * Control objectives: * Minor change in assertion 4 / Fundamental rights / Solidarity and Subsidiarity, based on feedback received during last years audit. * Depending on whether or not the participant is a WP Leader, the scope of some questions is adapted accordingly (see attached Excel files): * For WP Leaders: In the scope of the WP that I lead, * For non- WP Leader: In the scope of the WPs that I participate in, * Design implications: * Results from the First and the Second ELSA Audits will be directly comparable. * Results from the First and the Second ELSA Audits will enable us to compare the answers of WP Leaders against the answers of participants that are not WP Leaders. * Calendar: * Timeframe: early November.
